Scheduling Coordinator who has extensive experience in ABA scheduling,to support our clinical operations in the state of
Idaho.

What You’ll Do
As a Scheduling Coordinator, you’ll play a critical role in ensuring clinic schedules are optimized to support both client progress and staff productivity. You’ll manage daily scheduling tasks, provide coverage support, handle cancellations, and maintain accurate reporting.
Key Responsibilities:

Schedule Management
- Manage daily cancellations and coverage needs; document all actions taken
- Proactively reduce canceled hours by adjusting schedules and filling gaps
- Ensure full-time RBTs are scheduled 30+ hours/week
- Align client schedules with authorized hours for full treatment delivery
- Reinforce Monday–Friday full-time attendance expectations with families

Operational Coordination
- Submit the master schedule planner by EOD every Friday
- Monitor and respond to all internalscheduling communications daily
- Conduct weekly check-ins with Clinic Directors
- Communicate staff and client absences promptly to minimize disruption
- Update intake/admissions tools, including meta data, PowerBI dashboards, and reports
- Maintain accurate schedules in CentralReach
- Review dashboards dailyfor up-to-date accuracy
Who You Are
Required Qualifications:
- Bachelor’s degree in Business Administration, Healthcare Management, or a related field preferred
- Prior experience in a dedicated scheduling or administrative coordination role within an ABA organization is required (experience solely as an RBT or Lead RBT handling partial scheduling duties does not meet this requirement)
- Experience using CentralReach is preferred
- Highly organized with excellent time management and communication skills
- Proficient with tech tools (Microsoft 365 suite, CentralReach, Google Suite, intermediate level experience using Excel)

Schedule & Work Conditions
- Full-time | 40 hours/week
- Required schedule (Eastern Time):
- 8:30 AM – 2:00 PM EST
- Break: 2:00 PM – 3:30 PM EST
- 3:30 PM – 6:00 PM EST
- Work from home position; must maintain a quiet, clean, safe, and professional home workspace
- This is a full-time position that requires consistent availability during scheduled working hours. It is not intended to be balanced alongside other jobs or side work
Key Performance Indicators (KPIs):
- Minimize cancelled hours through proactive coverage
- Ensure all full-time RBTs are scheduled for30+ hours weekly
- Match client schedules to authorized hours
- Document and respond to all daily cancellations and schedule updates
- Maintain family schedule adherence and report recurring issues to clinical leadership
- Communicates withfamilies regularly and timely
- Updates schedules and reporting data timely and efficiently
