Job Summary:
The Admissions Specialist will be the first point of contact for families and clients reaching out to the company regarding clinical services for children with autism. They are responsible for receiving and/or outreach to client inquiries, collecting client and guardian data for the CRM, and managing the client onboarding process to the point of clinical authorizations. The position will require collaboration with other teams to ensure smooth and timely client on-boarding.
Duties/Responsibilities:
- Serves as the initial contact person for families and potential clients through telephone, email, or other electronic communication.
- Responsible for answering questions regarding programs and services
- Explains insurance benefits information and financial responsibility to prospective clients and
- Maintains client CRM files and appropriately documents all correspondence with prospective clients and their families.
- Prepares appropriate email contents to be sent to clients and
- Ensures that all required client information and documents are received and filed appropriately into Acorn Health systems.
- Contacts physicians’ offices to obtain necessary documentation as
- Utilizes appropriate communication channels to communicate with the authorizations department, clinical team, and Admissions leadership to effectively manage the wait list.
- Maintains communication and updates client availability for wait listed clients and in the practice management systems on a regular basis.
- Stays updated on any process developments and/or issues related to admissions and adheres to department guidelines.
- Requirement: Admissions Specialists must be able to keep Eastern Standard Time business Most working days begin at 8:30 AM EST and end at 5:00 PM EST. Admissions Specialists rotate a late shift schedule beginning at 9:30 AM EST and ending at 6:00 PM EST based on business needs.

Knowledge, Skills & Abilities:
- Fluent in both Spanish and English (written and spoken)
- Previous experience in admissions or a related field
- Strong communication and organizational skills
- Ability to work in a fast-paced environment
- Excellent verbal and written communication

- Proficient in Microsoft Office and
- Ability to organize and prioritize
- Ability to multi-task and work in a fast-paced
- Solid understanding of web metrics, digital analytics, with the ability to generate, analyze and interpret data.

- Proficient with Microsoft Office and Microsoft Dynamic 365 CRM (or other CRM programs)
Education and Experience:
- High school diploma
- Bachelor’s degree or equivalent work experience in the healthcare field
- 1 years of experience in client onboarding in healthcare or related industry
- 1 year of experience working within a call center environment
