Position Overview
The Bilingual Administrative Assistant plays a key role in supporting the daily operations of the mental health program by coordinating schedules, maintaining client records, and ensuring smooth communication between therapists, clients, and external partners. This position requires strong organizational skills, attention to detail, and the ability to communicate fluently in both English and Spanish.
Key Responsibilities
- Maintain and update therapist calendars, including scheduling, cancellations, and rescheduling sessions.
- Assist therapists in connecting with clients and sending appointment reminders.
- Coordinate and add appointments (e.g., ACES, Blue) to therapist schedules and update relevant systems.
- Manage bi-weekly appointment administration tasks and send updated schedules to therapists. Reach out to clients to offer and confirm new appointment times; support intake process as needed.
- Monitor and log payments; manage financial documentation such as Financial Responsibility Statements.
- Maintain and update client records in systems such as NPA, including contract updates, terminations, and documentation uploads.
- Contact insurance providers, school counselors, social workers, and referral sources as needed.
- Support with administrative tasks such as faxing, mailing documents, filing SCARs, and tracking client inquiries.
- Assist with onboarding and scheduling of new hires and communicate training updates.
- Complete additional administrative duties as assigned to support the smooth functioning of the program.
Desired Qualifications
- Minimum of a High School Diploma or GED.
- Must be energetic, FUN, and enthusiastic about working with a diverse population of clients.
- Bilingual (Spanish-speaker)
- Google Suite experience (Drive, sheets, docs, etc.), Microsoft excel experience.
- An open, friendly, energetic, and flexible attitude is a must!
- 1-2 years of direct work experience in an administrative office position
- Highly organized with attention to detail, and the ability to track and maintain many different tasks.
- Excellent communication skills
- Experienced, stable, reliable, proactive team player
- Live locally, and own reliable transportation.
- A compassionate person who likes helping people
- Ability to work independently, and is an effective communicator
- Experience working with individuals with disabilities is a plus, but not required
- Experience in Mental Health preferred, but not required.
