Metrocare is the largest provider of mental health, developmental disability and permanent supported housing services in Dallas County serving over 50,000 children, teens and adults annually. In conjunction with clinical care, Metrocare’s Altshuler Center for Education & Research is transforming the community mental health landscape of North Texas through workforce development focused on innovative partnerships and exceptional trauma-informed training.
Position is responsible for coordinating and performing all clerical needs for the assigned unit and ensuring customer satisfaction and flow of business operations within the department. This position must be able to work with little to no supervision.
Essential Duties And Responsibilities
The essential functions listed here are representative of those that must be met to successfully perform the job.
- Implements and maintains designated processes in the assigned unit (including, but not limited to the following processes):
- Greets and directs consumers, vendors, and other visitors.
- Registers consumer in Avatar and ensure completed the following screen “Family Relationship, Diagnosis, Program Information and Cross Episode Financial Assessment.
- Answers and directs incoming calls for EDU Department.
- Maintains Team Schedule in AVATAR
- Schedules future appointments, Cancels and Reschedules
- Blocks and clears for vacation, as directed by Business Coordinator
- Screens consumer needs using EDU Walk-In Form or Intake Form 2276, without making a clinical judgment.
- Completes Financial Assessment and Consents Forms.
- Maintains 90% accuracy of demographic information in AVATAR as well as documents required for EDU Department (Proof of Dallas County Residency, Proof of Insurance Coverage, Proof of Guardianship or Power of Attorney & Proof of Income).
- Confirms payor and authorization before services are rendered. Contact insurance organizations to obtain process for Prior Authorization for evaluations, ensure EDU has updated insurance forms and processes, and completes Prior Authorizations to send to insurance company before date of appointment.
- Confirm appointment with consumers at least one day before appointments.
- Calls No Shows for follow up on missed appointments.
- Gathers school or hospital paperwork following EDU process: Completed Form 8020-Authorization for Disclosure Information and Cover Sheet Fax.
- Documents all the efforts or screening phone calls doing progress notes in Avatar.
- Copying, faxing, and scanning all other general office duties.
- Responsible for monitoring and managing EDU Intake email and faxes, as needed.
- Orders needed supplies for team.
- Attends Team meetings as directed.
- Demonstrate a high level of integrity and confidentiality.
- Meets designated benchmarks and/or quality measures.
- Identifies needs and brings issues to the attention of the Business Coordinator.
- Presents to consumers and staff in an attentive, friendly, & professional manner.
- Follows the Administrative Chain of Command in addressing work related issues.
- Performs other duties as assigned.

Qualifications
EDUCATION AND EXPERIENCE:
- Required: High School graduate with some college or technical school/training.
- Required: Minimum of 4 years of progressive customer service experience required.
- Experience in an office or MH/IDD setting preferred.
- Fluent in English and Spanish, required. This position will work with families whose primary language is Spanish.

Mathematical Skills
- Basic math skills required.
- Ability to work with reports and numbers.
Reasoning Ability
- Ability to apply common sense understanding to carry out simple one or two-step instructions.
- Ability to deal with standardized situations with only occasional or no variables.
Computer Skills
- Use computer, printer, scanner, and software programs necessary to the position (i.e., Word, Excel, Outlook, and PowerPoint).
- Experience in Electronic Health Record computer software (MyAvatar/CARE/CSIL)
- Ability to use electronic platform (email, team, zoom)
- Ability to utilize Internet for resources.
Certifications, Licenses, Registrations
- Current State of Texas Driver License or if you live in another state, must be currently licensed in that state. If licensed in another state, must obtain a Texas Driver License within three (3) months of employment.
- Liability insurance is required if an employee will operate a personal vehicle on Center property or for Center business. Must be insurable by Center’s liability carrier if employee operates a Center vehicle or drives personal car on Center business. Must have an acceptable driving record.
