Position Overview
We are seeking a highly organized, outgoing, and goal-driven
ABA Credentialing & Contracting Admin to help lead and manage our provider contracting efforts. In this key role, you’ll be responsible for initiating and maintaining contracts with insurance companies and funding sources, playing a vital part in expanding BTS’s network and reach. You’ll also support the credentialing process for our clinical staff, including Therapists, BCBAs, and QASPs (Qualified Autism Service Providers), ensuring all providers meet payer requirements and are set up for success.
This position is perfect for someone who is people-focused, persuasive, and confident in navigating professional relationships while keeping detailed records and following through on complex processes.
Key Responsibilities
- Contract & Funder Management:
- Manage payer contracts from negotiation through execution, including renewals, amendments, and compliance oversight.
- Serve as the primary liaison between the agency and funding partners (insurance companies, school districts, Medicaid, grantors, etc.).
- Ensure all contract terms are fully understood and implemented across clinical and billing teams.
- Revenue & Reimbursement Oversight:
- Collaborate with billing and finance teams to monitor reimbursement schedules, authorization timelines, and claim denials related to payer policies. Track key funding metrics and provide regular reporting on contract performance, revenue forecasts, and payer trends.
- Credentialing:
- Maintain up-to-date records of all contracts and funding documentation.
- Ensure agency operations align with payer policies, HIPAA regulations, and funding agency requirements.
- Coordinate credentialing and re-credentialing processes for clinical staff, including Therapists, BCBAs, and QASPs.
- Maintain accurate, up-to-date documentation related to contracting and credentialing.
- Track contract and credentialing timelines, following up to ensure timely completion.
- Identify new contracting opportunities and collaborate with leadership to support agency growth.
- Strategic Partnership Development:
- Identify new funding opportunities (e.g., grants, partnerships with schools or community organizations).
- Cultivate relationships with current and potential funders to expand program access and sustainability.
- Cultivate relationships with community clinics, doctor offices, and other referral sources.
- Support grant application processes in coordination with leadership and development teams.
- Cross-Functional Collaboration:
- Partner with clinical, billing, and administrative departments to streamline payer processes and improve operational efficiency.
- Educate internal teams on changes in contract terms or payer policies.
Requirements
- High school diploma or GED.
- Reliable internet connection, your own work computer , and a suitable remote work environment.
- Ability to work from 9 am to 5:30 pm PST ; however, during heavy work times, staff may be asked to work during after-hours. The candidate must be able to work in the Pacific time zone.
Qualifications
- Experience with billing and/or direct communication with insurance companies or funders, ideally in a customer service or administrative role. Experience in an ABA/Behavioral Services agency is a plus!
- Strong interpersonal and communication skills; confident, outgoing, and persuasive — able to represent BTS effectively, negotiate rates, and build positive relationships with funders.
- Strong attention to detail and excellent organizational skills.
- Effective communication skills, both verbal and written.
- Ability to handle sensitive information with confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Spreasheets, docs).
- Ability to execute active listening and problem-solving skills to provide exceptional customer service.
- Ability to prioritize and multitask to meet quickly changing session demands and deadlines.
