We are seeking a detail-oriented, proactive, and highly organized
Executive Assistant to support the Vice President of PA. The ideal candidate will be based in the
Pittsburgh, PA area, possess exceptional organizational and communication skills, and be willing to undertake light travel as needed. This role involves managing the VP’s calendar, coordinating meetings, preparing reports, and handling sensitive and confidential information with utmost discretion.
Starting Salary: $55,000
Key Responsibilities
- Calendar Management: Maintain and organize the VP’s schedule, including coordinating appointments, prioritizing commitments, and ensuring time is effectively allocated.
- Meeting Coordination: Plan and schedule meetings, prepare agendas, take minutes, and manage follow-ups to ensure efficiency in communication and execution.
- Report Preparation: Compile and draft reports, presentations, and correspondence as needed, ensuring accuracy and professionalism.
- Confidential Information Handling: Manage sensitive and confidential documents and information with discretion and security.
- Travel Arrangements: Assist with light travel planning, including booking transportation and accommodations, as well as preparing travel itineraries.
- Communication Liaison: Act as the point of contact between the VP and internal/external stakeholders, ensuring clear and timely communication.
- Office Support: Provide general administrative support, including organizing files, managing records, and ensuring office processes run smoothly.
Qualifications
- Location: Must be based in the Pittsburgh area.
- Experience with ODP preferred
- Experience in Human Services field is a must
- Experience: Proven experience as an Executive Assistant or in a similar administrative role.
- Skills:
- Exceptional organizational skills with the ability to manage multiple tasks and priorities efficiently.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Travel: Willingness to undertake light travel as required.
