The office coordinator works effectively with the Chief Psychologist, Intake Coordinators, Records Department, and other LIDDA staff to optimize services in a timely and efficient manner while maintaining a customer-friendly and cost-effective business environment. This position must be able to work with limited supervision.
Essential Duties And Responsibilities
The essential functions listed here are representative of those that must be met to successfully perform the job.
- Manage department intake flow, ensuring that individuals are seen in a timely and efficient manner to include the following:
- Manages waiting areas and directs individuals to the appropriate clinicians/intake coordinators to address needs.
- Ensures individuals are not left in waiting areas without clinicians/intake coordinators knowing they are present.
- Ensures individuals/families are contacted and reminded of their appointments.
- Ensures there is follow up with the individuals/families when they miss their appointments.
- Ensures excellent customer service and customer friendly environment
- Ensures a clean, orderly, and safe environment in cooperation with the Facilities staff
- Demonstrates the highest level of integrity and confidentiality and HIPPA compliance within site
- Answers and directs incoming calls for EDU departments, as needed
- Implements policies, procedures, and processes as directed by the Chief Psychologist
- Ensures accurate and timely ordering of testing/office supplies for EDU
- Maintains knowledge of and complies with established policies and procedures
- Responsible for receiving/sorting of mail
- Responsible for monitoring and managing EDU Intake email and faxes
- Responsible for monitoring and meeting expected performance goals/metrics
- Cross Functions and performs Intake Coordinator duties, as needed
- Actively participate in unit and center meetings
- Presents to individuals and staff in an attentive, friendly & professional manner
- Identifies needs and brings issues to attention of Chief Psychologist
- Contact insurance organizations to obtain process for Prior Authorization for evaluations, ensure EDU has updated insurance forms and processes, and completes Prior Authorizations to send to insurance company before date of appointment
- Other duties as assigned
- Performs other duties as assigned.

Qualifications
EDUCATION AND EXPERIENCE:
- Associate degree in Business or other health-related field preferred or High School degree with 3 to 4 years in a business office role
- Medical Billing and Coding experience, preferred
- Ability and experience to assess workflows, including proposing, and implementing policies and procedures
- Ability to speak Spanish is preferred
