We are seeking a customer-focused, energetic, and self-motivated individual to join our team as a Central Intake Specialist.
In this role, you will be the first point of contact for families exploring ABA therapy services with Proud Moments. You’ll guide them through the intake process with empathy and professionalism, ensuring a smooth and supportive experience from the initial inquiry to onboarding.
Key responsibilities include responding to inquiries, managing incoming leads, conducting intake calls, and performing administrative tasks such as insurance verification.
Proud Moments ABA is a behavioral health organization, providing the gold standard of Applied Behavior Analysis (ABA) services for children on the autism spectrum from birth to age 21. Proud Moments is a haven of knowledge and expertise for parents of children diagnosed on the autism spectrum. We offer expert treatment, innovative techniques, and compassionate, child-centered care.
Responsibilities
As a Central Intake Specialist, you will play a key role in guiding families through the intake process and supporting timely access to care across multiple geographic areas. Responsibilities include:
- Understand Proud Moments’ services and clearly communicate to families seeking care
- This position provides support across several geographic areas, with standard working hours from 10:00 AM to 6:00 PM Eastern Time, Monday through Friday
- Advocate the benefits of maximizing prescribed hours for optimal service and utilization
- Accelerate access to ABA services by confirming that clients have received a professional evaluation and prescription for ABA services
- Ensure proper reimbursement for ABA services by securing insurance authorization with our internal team
- ERM system maintenance including Client Intake process, document classification, client labels, client schedule settings and initial recurring schedules
- Confirm session start dates with all applicable parties
- Transition ongoing management of case to internal resources
Qualifications
The successful Central Intake Specialist candidate will bring a mix of the following experience and competencies:
- High School Diploma or GED
- 2+ years of experience in a healthcare related intake role
- Must be fluent in written and spoken English and Spanish to support Spanish-speaking clients
- Good understanding of HIPAA and how it applies to
- Effective administration skills
- Excellent written and verbal communication skills
- Highly computer literate with capability in email, MS office, Smartsheet and related business and communication tools
- Fantastic organizational and time management skills
- Strong decision making and problem-solving skills
- Meticulous attention to detail
- Strong soft skills - personable, engaging, and professional
- Candidates should have the flexibility to accommodate various US time zones, with a preference for those who can work on East Coast hours
