About the Opportunity
Mosaic Pediatric Therapy has an opening for a Recruiting Operations Managerto lead our Talent Acquisition funciton.
The Recruiting Operations Manager plays a critical role in building and optimizing the infrastructure that powers the organization's talent acquisition function. This role is responsible for driving process efficiency, ensuring system and data integrity, supporting compliance initiatives, and enabling the recruiting team through operational excellence. The Recruiting Operations Manager partners closely with Human Resources, Talent Acquisition, and departmental leaders to implement scalable and consistent practices across clinical and non-clinical recruitment. This position also supports the execution of initiatives that enhance employer branding, internal communications, and hiring process effectiveness.

Responsibilities- Lead, mentor, and manage a recruiting team, ensuring performance goals and hiring targets are met.
- Design, implement, and continuously improve recruiting workflows to enhance efficiency and candidate experience.
- Standardize and document recruiting processes to ensure consistency across teams and locations.
- Oversee the selection, implementation, and maintenance of recruiting technologies, including Applicant Tracking Systems (ATS), scheduling tools, and assessment platforms.
- Ensure seamless integration of recruiting tools with other HR systems.
- Develop and maintain dashboards to track key recruiting metrics such as time-to-fill, cost-per-hire, and source effectiveness.
- Analyze recruiting data to identify trends, bottlenecks, and areas for process improvement.
- Ensure all recruiting activities comply with federal, state, and local labor laws and regulations.
- Conduct regular audits of recruiting processes and documentation to maintain compliance.
- Create and deliver training programs for recruiters and hiring managers on best practices, tools, and compliance requirements.
- Develop onboarding materials for new recruiting team members.
- Manage relationships with external recruiting vendors, including job boards, staffing agencies, and background check providers.
- Collaborate with HR, IT, and other departments to align recruiting operations with organizational goals.
- Develop and manage the recruiting operations budget, ensuring cost-effective use of resources.
- Monitor spending on recruiting tools, advertising, and external services.
- Work with marketing and communications teams to enhance employer branding and promote job openings.
- Implement initiatives to improve candidate experience throughout the recruiting process.
- Stay informed about industry trends and best practices in recruiting operations.
- Lead initiatives to adopt new technologies and methodologies that improve recruiting efficiency and effectiveness.
- Bachelor’s degree in Human Resources, Engineering, Business Administration, or a related field (required)
- 3+ years of progressive experience in recruiting or talent acquisition
- 2+ years of experience managing recruiters or leading a talent acquisition team
- Hands-on experience with Applicant Tracking Systems (Lever, iCIMS, Workday, etc.)
- Proficiency with recruiting data and analytics tools
- Strong proficiency in data analysis and visualization in Microsoft Excel including pivot tables and lookup formulas
- Experience leading recruiting process optimization and workflow automation initiatives
- Strong understanding of compliance and employment law as it relates to recruiting and hiring
- Demonstrated success improving key recruiting metrics (time-to-fill, candidate experience, process efficiency, etc.)
- Experience managing vendor relationships (job boards, background checks, recruiting agencies, etc.)
- Strong cross-functional collaboration skills, especially with HR, IT, and Marketing
